Every conference runs through the same four phases, and Conference Hero has a home for each one.
Plan
Create a conference with the setup wizard, then build your prep list. You can start from a task template, add tasks by hand, or upload your exhibitor manual and let the AI Task Planner extract deadlines, order forms, and logistics into a reviewed task plan. The Booth Planner handles shifts and session schedules, and budget planning tracks spend against plan.
Capture
At the event, your team captures leads however the moment allows: quick entry, badge scan, business card photo, or a spoken voice note that becomes a structured lead. If the venue wifi dies, captures queue on the device and sync when you reconnect. See capture methods. You can also publish a branded event landing page so prospects submit their own details via QR code.
Follow up
Every captured lead gets a score and a temperature. After a booth day, generate AI follow-up drafts for every lead at once. Each draft goes to the lead's owner for review and sends from that person's own connected Gmail or Outlook mailbox, so replies come back to a real inbox. Book meetings with personal booking links and watch responses in the reply inbox.
Prove
