Slack Alerts and Calendar Connections
Two integrations keep your team in the loop without living in Conference Hero all day: Slack alerts push the moments that matter to a channel, and calendar connections make sure meetings show up where your team already looks. This article covers both.
Slack alerts
Connect Slack so the events that need a fast response reach your team where they already work. An Admin connects it at Integrations → Slack.
Once connected, Conference Hero can send alerts for:
- New leads and hot leads as they are captured.
- Task due reminders.
- Budget alerts and budget approval requests, approvals, and rejections.
- Meetings booked by a prospect through a booking link.
Alerts can go to a channel, and individual users can also receive them as direct messages by mapping their Slack account. Each person controls which notification types reach them, so the channel does not turn into noise. Hot-lead alerts at the booth are the ones teams love most: someone senior stops by, and the account owner knows before they have finished the handshake.
Two kinds of calendar
Conference Hero has two separate calendar layers. Keep them straight, because they do different jobs.
Workspace shared calendar
An Admin connects one shared calendar for the workspace at Integrations → Workspace Calendar. Meetings, booth blocks, and sessions sync one-way into a dedicated "Conference Hero" secondary calendar, so anyone can subscribe and see the team's event schedule in their own calendar app. This calendar carries no attendees and sends no invites. It is a read-only mirror of what is happening.
Personal calendar
Each non-viewer connects their own Google calendar at Integrations → My Calendar. This does two things the shared calendar cannot:
- Reads your free/busy to power the find-a-time picker, so you do not double-book.
- Sends real invites to leads. When you schedule a meeting, the event emails an invite to the lead from your calendar, and it is what makes your booking link work.
When you schedule a meeting, Conference Hero prefers your personal calendar so the lead gets an invite, and falls back to the workspace shared calendar if you have not connected one.
Connecting your Google calendar
Both calendar layers use Google in the current version. Connect from the relevant Integrations tab and approve the Google permission. Until a personal calendar is connected, My Calendar shows a connect prompt and no invites are sent.
