Terms of Service.
Effective October 15, 2026 · Last updated October 15, 2026
These Terms of Service (“Terms”) govern your access to and use of the Conference Hero platform, website and mobile apps (“Service”) operated by Conference Hero LLC, a Texas limited liability company (“Conference Hero,” “we,” “us,” or “our”). By creating an account or using the Service, you agree to be bound by these Terms. If you do not agree, do not use the Service. If your company accepted an earlier version of these Terms, this version applies to it from November 14, 2026.
1. Eligibility
You must be at least 18 years old and have the authority to enter into these Terms on behalf of yourself or the organization you represent. The Service is intended for business use. By using the Service, you represent that you meet these requirements.
2. Your Account
You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account, including activity through API tokens you create. You agree to:
- Provide accurate and complete registration information
- Notify us immediately at hello [at] conferencehero.ai if you suspect unauthorized access to your account
- Not share your account credentials with anyone outside your authorized team
We reserve the right to suspend or terminate accounts that we reasonably believe have been compromised or are being used in violation of these Terms.
3. Plans, Orders & Payment
Plans and orders
Your plan (the products, usage limits, price, billing schedule, term and payment method) is set out in the order we send you. You accept an order by paying it, signing it, or confirming it in writing. Each order is part of these Terms. If an order and these Terms conflict, the order wins on that point.
Trials
We may give your workspace a trial with usage limits and an end date we set. No payment method is needed for a trial. When a trial ends, the workspace becomes read-only until a paid plan starts. We may extend or end a trial at our discretion.
Term and renewal
Your plan runs for the term in your order. At the end of the term it renews automatically, for the renewal period in your order or, if none is stated, for a period the same length as the original term. Admins can turn off renewal in Settings. Turning it off ends the plan at the earliest date your order allows, taking its term and notice period into account. A plan can’t be ended early for convenience, and fees for the rest of a committed term remain due.
Payment
Prices don’t include tax. You pay by card or by invoice, as your order says, and invoices are due within the payment terms in your order. If a payment is overdue, the workspace keeps working for 14 days, then becomes read-only until the balance is paid. Admins can always reach billing to pay. Fees are non-refundable, except where your order, Paddle’s buyer terms, or applicable law say otherwise.
Usage limits and credits
Your plan includes usage limits, such as users, conferences, emails, AI credits and contact lookups. AI credits and contact lookups reset each plan year, and unused amounts don’t carry over. Extra credits you buy count until your plan year renews. When you reach a limit, the features that use it pause until the limit resets or you add credits.
Payment provider and Merchant of Record
We use Paddle (paddle.com) as our payment provider and Merchant of Record. When you pay for a plan or credits, Paddle processes your payment, issues your invoice or receipt, collects any applicable sales tax, VAT, or GST, and is the seller of record for the transaction. Your purchase is also subject to Paddle’s terms and privacy policy. Refunds, chargebacks, and billing support requests for payments are handled by Paddle on our behalf.
Price changes
Prices don’t change during a term you have committed to. We may change the price for a renewal period with at least 30 days’ notice before the renewal date. If you don’t agree, turn off renewal within the notice period in your order.
4. Acceptable Use
You agree not to use the Service to:
- Violate any applicable federal, state, or local law or regulation
- Upload, store, or transmit any content that is unlawful, infringing, defamatory, obscene, or harmful to others
- Attempt to gain unauthorized access to any part of the Service, our servers, or any system or network connected to the Service
- Reverse engineer, decompile, or attempt to extract the source code of the Service
- Scrape, crawl, or use automated tools to extract data from the Service without our prior written consent
- Use the Service for any purpose that competes with Conference Hero without our prior written consent
- Transmit spam, phishing communications, or any unsolicited bulk messaging
- Introduce malware, viruses, or any malicious code into the Service
Email and outreach. When you send emails, LinkedIn messages, or other outreach through the Service, you are the sender. You are responsible for following the anti-spam and privacy laws that apply to you (such as CAN-SPAM, CASL, and GDPR), honoring opt-outs, and following the terms of the accounts you connect. We may pause sending that we reasonably believe breaks this section or harms our ability to deliver email.
We reserve the right to investigate and take appropriate action, including suspending or terminating your account, if we determine, in our sole discretion, that you have violated this section.
5. Your Content & Data
“Your Content” means any data, lead records, conference information, notes, files, or other content you upload or create within the Service.
- Ownership. You retain full ownership of Your Content. We do not claim any intellectual property rights over it.
- License to operate. You grant us a limited, non-exclusive, royalty-free license to store, process, and display Your Content solely to provide and improve the Service for you.
- Responsibility. You are solely responsible for the accuracy, legality, and appropriateness of Your Content, including any personal data of third parties (such as conference leads) that you enter into the Service. You represent that you have the right to collect and process that data.
- Contact data we look up. When you use contact lookups (enrichment) or list building, we get business contact details from third-party providers for you. We don’t guarantee they are accurate or complete, and you are responsible for using them lawfully.
- Data portability. You may export Your Content at any time using the export features in the Service. Upon account deletion, we will provide a 30-day window to export your data before it is permanently deleted.
6. Intellectual Property
The Service, including its software, design, branding, text, and graphics, is owned by Conference Hero LLC and protected by US and international intellectual property laws. These Terms do not grant you any right, title, or interest in the Service itself, other than the limited right to use it as described here.
If you provide feedback, suggestions, or ideas about the Service (“Feedback”), you grant us a perpetual, irrevocable, royalty-free license to use that Feedback for any purpose without compensation to you.
7. Third-Party Integrations
The Service integrates with third-party platforms such as HubSpot, Slack, Google, Microsoft, and LinkedIn. When you connect an account, you allow us to access it as described in our Privacy Policy, for the features you use. Your use of those integrations is subject to the respective third-party terms of service, some of which limit automated use (LinkedIn, for example), and you are responsible for using connected accounts in line with them. We are not responsible for the availability, accuracy, or conduct of third-party services.
8. Privacy
Your use of the Service is also governed by our Privacy Policy, which is incorporated into these Terms by reference.
9. Disclaimers
THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR FREE OF VIRUSES OR OTHER HARMFUL COMPONENTS.
AI features. Some features use AI from third-party providers, for example to draft emails, score leads, read documents, and transcribe voice notes. AI output can be wrong or incomplete. Review it before you rely on it or send it; you are responsible for what you send. We don’t use Your Content to train AI models, and our AI providers don’t use it to train theirs.
The ROI estimates and projections provided by our ROI Calculator are for informational purposes only and do not constitute a guarantee of results.
10. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, CONFERENCE HERO AND ITS AFFILIATES, OFFICERS, EMPLOYEES, AGENTS, AND LICENSORS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS OR REVENUES, WHETHER INCURRED DIRECTLY OR INDIRECTLY, OR ANY LOSS OF DATA, GOODWILL, OR OTHER INTANGIBLE LOSSES, ARISING OUT OF OR RELATED TO YOUR USE OF THE SERVICE.
IN NO EVENT WILL OUR AGGREGATE LIABILITY TO YOU FOR ALL CLAIMS ARISING OUT OF OR RELATED TO THESE TERMS OR THE SERVICE EXCEED THE GREATER OF (A) THE TOTAL AMOUNT YOU PAID TO US IN THE 12 MONTHS PRECEDING THE CLAIM OR (B) $100 USD.
Some jurisdictions do not allow the exclusion of certain warranties or the limitation of liability for certain types of damages. If these laws apply to you, some of the above exclusions or limitations may not apply, and you may have additional rights.
11. Indemnification
You agree to indemnify, defend, and hold harmless Conference Hero and its officers, directors, employees, and agents from any claims, liabilities, damages, and expenses (including reasonable legal fees) arising out of or related to: (a) your use of the Service, (b) Your Content, (c) your violation of these Terms, or (d) your violation of any third-party rights.
12. Termination
You may stop using the Service at any time; fees for the rest of a committed term remain due (section 3). We may suspend or terminate your account immediately if:
- You breach any provision of these Terms
- We are required to do so by law
- We discontinue the Service
Upon termination, your right to access the Service ceases immediately. Sections 5 (Your Content, ownership and responsibility), 6 (Intellectual Property), 9 (Disclaimers), 10 (Limitation of Liability), 11 (Indemnification), and 13 (Governing Law) survive termination.
13. Governing Law & Dispute Resolution
These Terms are governed by the laws of the State of Texas and applicable US federal law, without regard to conflict-of-law principles. Any dispute arising from or relating to these Terms or the Service will first be attempted to be resolved informally by contacting us at hello [at] conferencehero.ai. If informal resolution fails within 30 days, disputes will be resolved through binding arbitration administered by the American Arbitration Association (AAA) under its Commercial Arbitration Rules, held in Austin, Travis County, Texas, or by video. Either party may seek injunctive relief in a court of competent jurisdiction to protect its intellectual property rights or confidential information, and either party may enforce an arbitration award in any court of competent jurisdiction. Apart from enforcing an award, for any matter that goes to court, both parties agree to the exclusive jurisdiction of the state and federal courts located in Travis County, Texas.
Class action waiver: You agree that any dispute resolution proceeding will be conducted only on an individual basis and not in a class, consolidated, or representative action.
14. Changes to These Terms
We may modify these Terms at any time. We will provide at least 30 days’ advance notice of material changes via email to registered users or a banner on the website. Your continued use of the Service after the effective date of the revised Terms constitutes your acceptance. If you do not agree with the changes, you must stop using the Service before the effective date.
15. General
- Entire agreement. These Terms, together with any order and our Privacy Policy, constitute the entire agreement between you and Conference Hero regarding the Service and supersede all prior agreements.
- Severability. If any provision of these Terms is found to be unenforceable, the remaining provisions will remain in full force.
- Waiver. Our failure to enforce any right or provision of these Terms will not be considered a waiver of those rights.
- Assignment. You may not assign or transfer these Terms without our prior written consent. We may assign our rights and obligations under these Terms without restriction.
