HubSpot Integration: Sync Leads to Your CRM
If your team lives in HubSpot, Conference Hero puts captured leads there without a CSV export. Connect once, and leads sync to HubSpot as they are captured, so a booth conversation is a contact in your CRM before you have walked away. This article covers connecting, field mapping, sync timing, conference sync modes, and owner mapping.
An Admin sets this up at Integrations → HubSpot.
Connecting
Click connect and approve the OAuth flow in HubSpot. Conference Hero requests the scopes it needs to create and update contacts, and, depending on your chosen sync mode, to manage lists or marketing events. You stay in control: disconnect anytime from the same page.
Field mapping
Map Conference Hero lead fields to HubSpot contact properties: name, company, title, email, phone, and your notes. Standard fields map out of the box, and you can adjust the mapping to match how your HubSpot instance is set up. This keeps the data landing in the properties your team already reports on.
Sync timing: before you leave the booth
Leads sync to HubSpot as they come in, not in a nightly batch. Capture a lead at the booth and it is a HubSpot contact moments later, ready for your SDRs. Existing contacts are matched by email and updated rather than duplicated.
Conference sync modes
Choose how each conference is represented in HubSpot:
- Properties - write conference context onto the contact record. The simplest mode, and the default.
- Static lists - also add each contact to a HubSpot static list for the conference, so you have a ready-made list per event. This mode needs the list-write scope enabled.
- Marketing events - also mirror each conference as a HubSpot marketing event and associate contacts with it, for teams that report on event attendance in HubSpot. This mode needs the marketing-events scopes enabled.
If a mode's required scope is not available, Conference Hero falls back gracefully rather than failing the sync, and tells you so.
Owner mapping
Map HubSpot owners to Conference Hero users so lead ownership stays consistent across both systems. When leads flow in from HubSpot, their HubSpot owner is resolved to the matching Conference Hero user, so the right person owns follow-up. Ownership matters here: the owner is who AI follow-up drafts route to and send from.
