AI Follow-Up Campaigns After the Booth
After a day at the booth you have a stack of warm leads and a narrow window to reach them before they forget the conversation. AI follow-up campaigns generate a personalized email for every captured lead at once. Each draft goes to the lead's owner to review and edit, then sends from that person's own inbox, so the follow-up feels like it came from a human, because it did.

Three ways to start
The campaign front door gives you three starters:
- Blank - build a sequence from scratch in the campaign builder.
- From a template - start from the playbook library or one of your workspace's saved templates.
- AI follow-up from leads - the bulk after-booth flow described below.
Generating bulk AI drafts
Choose AI follow-up from leads, then filter your audience: by conference, by lead temperature, captured in the last 24 hours, or only your own leads. Before generating, you see the count and a per-owner breakdown that shows whose mailbox is connected and whose is not.
Click generate and Conference Hero writes one personalized draft per lead, using what it knows about that lead: their name, company, title, and your capture notes. Leads with no email or no owner are skipped and reported. The cap is 100 leads per run.
You can set a style preset for the batch: tone, length, goal, and greeting. The preset is remembered, so if you regenerate a single draft later, it keeps the same voice as the rest of the batch. Choose the higher-quality model for best personalization, or the faster model when you want speed.
Reviewing and approving
Drafts do not send until a human approves them. On the review page, drafts are grouped by owner, with yours first. For each draft you can:
- Edit the subject and body inline.
- Regenerate it if the angle is off.
- Discard it.
Approve your own drafts with one click, or, if you are an Admin, approve everyone's. Only the lead's owner or a workspace Admin can edit, regenerate, discard, or approve a given draft.
Sending: from the owner's mailbox, paced to look human
Approved drafts send from each lead owner's own connected Gmail or Outlook, so messages appear in the sender's Sent folder and replies come back to their inbox. Everyone needs a connected mailbox before their drafts can send.
Sends are staggered per owner rather than fired all at once, and they respect each sender's send window and warm-up ramp, so pacing looks natural and stays on the right side of spam filters. Approval schedules the sends; the pipeline handles the rest.
Campaign templates
Save any campaign's sequence as a reusable template with Save as template on the campaign, then apply it to future events. There are two kinds:
- Playbook library - curated templates available to every workspace.
- Your workspace templates - private templates your team saved, shown at the top of the picker.
Applying a template creates a draft campaign, so you can rename it and edit the steps before it goes live. Templates copy the sequence and goal only, never the leads, audience, sender, or schedule.
