Add Your Email Signature, or Paste It From Outlook

Updated October 29, 2026·Following Up·Share on X

Your signature goes at the bottom of every email Conference Hero sends to a lead for you: emails you write, AI drafts and campaign steps. Workspace notifications don't get it.

Set it up under Integrations, My Email, in the Email signature card. There are two ways to add it.

Build it here

Pick Build it here to write a simple signature in the editor: bold, italic, links and a logo or headshot from the image button. Use the line spacing menu to make it tighter or roomier.

Paste it from your mail app

Pick Paste from your mail app to keep the signature you already use, exactly as it looks there: fonts, sizes, colors, the layout (like a photo next to your name) and its pictures.

  1. In Outlook, Gmail or Apple Mail, open a new email that has your signature, or the signature settings.
  2. Select the whole signature and copy it (Ctrl+C or Cmd+C).
  3. In Conference Hero, click the paste box and paste (Ctrl+V or Cmd+V).
  4. Check the preview. It shows the signature the way leads will see it.
  5. Click Save signature.

We copy every picture in the signature to Conference Hero, so it shows up in every lead's inbox. That matters because the pictures in a copied signature often live on your own computer or behind your Microsoft login, where nobody else can see them.

When a picture doesn't come through

Some pictures can't be copied. The most common one is a signature copied from the Outlook desktop app on Windows, which links its pictures to files on your computer. Conference Hero lists each picture that didn't come through and why. Click Upload picture next to it, pick the image file (your logo or headshot), and it goes back in its place at the same size.

If the preview shows an empty box where a picture should be, the preview says a picture didn't load. Paste the signature again to copy it into Conference Hero once more.

Changing a pasted signature

A pasted signature can't be edited in Conference Hero, since that would lose its formatting. Edit it in your mail app, copy it again, and click Paste a different signature. If you switch back to Build it here and save, the editor's signature replaces the pasted one.

What's left out

To keep your emails safe and readable everywhere, a pasted signature keeps its text, links, formatting, tables and pictures, but drops anything that runs code, background images and settings only Outlook understands. Very long signatures are refused, since Gmail cuts off long emails. Pictures count toward your workspace's file storage, usually a few KB each.
