AI Follow-Up Campaigns: Personal Emails, the Morning After

Updated July 22, 2026Share on X

Most conference leads die in the two weeks it takes to "get to follow-up." Conference Hero closes that gap to one morning: AI drafts a personal email for every lead you captured, each owner reviews their own, and the emails go out from real inboxes while the conversation is still warm.

The morning after the booth

Pick the audience - this conference, hot leads only, captured in the last 24 hours, or just your own - and generate. AI writes an individual draft for every lead, working from what you actually captured: the notes, the voice memo, the temperature, the custom question answers. "Great talking about your CRM migration" instead of "It was a pleasure meeting you at the event."

You control the style: tone, length, goal, and greeting are set once per batch, so a hundred drafts sound like one person on a good day, not a hundred coin flips.

Drafts, not sends

Nothing goes out unreviewed. Every draft waits in a review screen, grouped by lead owner, where each rep can edit the text inline, regenerate a draft that missed the mark, or discard one entirely. Approve your own batch in one click; admins can approve for the team. AI writes the first pass, a human signs off on every send.

Sent from your own inbox

Every email sends from the lead owner's own connected Gmail or Outlook mailbox - not a platform address, not a shared alias. The email lands in the rep's Sent folder, replies come back to the rep's inbox, and the prospect sees a person, not a system. Deliverability follows: mail from a real mailbox with real history beats mail from noreply@ every time.

Deliverability, handled

Sending 80 identical-looking emails at 9:00:00 sharp is how you meet the spam folder. The pipeline paces itself:

  • Warm-up ramps new mailboxes gradually over their first ten days, so a fresh inbox is not suddenly sending a hundred emails a day.
  • Send windows keep emails inside each sender's working hours, in their timezone. Mail queued at midnight goes out at 8 am.
  • Staggering with jitter spaces sends out per sender at natural, slightly irregular intervals instead of a metronome.

Limits are per user, not per workspace, so a five-person team scales five ways.

Start from a playbook

Beyond the morning-after batch, the campaign builder covers multi-step sequences: start blank, pick from the playbook library of curated templates, or reuse a sequence your own team saved from a past campaign. Every path ends in a draft you can edit before anything activates.

Follow-up only works if capture did - see lead capture for the input side, and lead management for what happens after the reply. The follow-up help articles cover setup.
