Gmail Integration: Send Lead Emails From Your Inbox

Updated July 22, 2026Share on X

Conference follow-up works when it comes from a person, not a platform. Conference Hero sends every lead-facing email from the rep's own connected Gmail, so the prospect hears from you - the person they met at the booth - and replies land where you will actually see them.

Connect your own inbox

Each user connects their personal Gmail with OAuth from the integrations page. No shared alias, no forwarding rules, no IT ticket - you authorize your own mailbox and it is ready. Any team member can connect their inbox; every rep sends as themselves.

Emails send as you, replies come back to you

When you send a follow-up or a one-to-one lead email, it goes out through your Gmail. The message appears in your Sent folder, threads normally, and any reply comes straight back to your inbox - not a platform catch-all. To the prospect it is an ordinary email from someone they just met, because that is exactly what it is.

Deliverability, handled

Sending real volume from a mailbox needs care, or you meet the spam folder. The integration paces sends for you:

  • Warm-up ramps a newly connected inbox gradually over its first ten days, so a fresh mailbox is not suddenly firing off a hundred emails a day.
  • Send windows hold emails to your working hours in your timezone - queue at midnight, send at 8 am.
  • Staggering spaces sends out at natural intervals instead of a machine-gun burst.

Limits are per user, so a five-person team has five inboxes worth of capacity, not one shared cap.

Why a real inbox beats a platform address

Mail from noreply@ is easy to ignore and easy to filter. Mail from the person a prospect just met, arriving in a normal thread they can reply to, gets read. Sending through your own Gmail also means your team's follow-up lives where the rest of their correspondence does: searchable in their inbox, visible to them alongside the reply, and consistent with how they email everyone else. There is no separate outbox to check and no risk of a reply vanishing into a shared mailbox nobody owns.

Built for the morning-after batch

This is what makes AI follow-up campaigns real: each rep reviews their own drafts, then sends them from their own Gmail. A hundred personalized follow-ups go out the morning after the booth, each from the person who actually had the conversation, each landing as an ordinary email a prospect can just reply to. Prefer Microsoft? The Outlook integration works the same way. Either way, follow-up moves at the speed of the show instead of the speed of your backlog.
