The workspace shared calendar
An admin connects a workspace calendar, and meetings, booth shifts, and sessions sync into a dedicated "Conference Hero" calendar the whole team can subscribe to. It is a one-way, at-a-glance view of what is scheduled across your conferences - no invites, no attendee management, just visibility. Anyone on the team can see the shape of the event week without opening the dashboard.
Your personal calendar, with real invites
Each non-viewer connects their own Google calendar for the meetings that involve prospects. This does two things:
- Real invites go to the lead. When you schedule a meeting with a prospect, the event is created on your calendar and a genuine invite is emailed to them, the way any calendar invite works. It shows up on their calendar, not just yours.
- Availability is real. The find-a-time picker reads your actual free and busy times, so you never offer a slot you are already booked in.
The two layers stay cleanly separated: personal meetings invite the prospect, the workspace calendar just mirrors the schedule.
Booking links that self-book
Your personal calendar connection is what powers your booking link (see lead management).
