What Are Auto-Send Rules?

Auto-send rules automatically generate email drafts when new leads are captured. Based on the lead's temperature and configurable timing, Conference Hero creates personalized follow-up emails ready for your review.

Setting Up Rules

  1. Go to Settings → Email Settings
  2. Click Add Rule or edit an existing template
  3. Configure the trigger conditions:

Configuration Options

  • Trigger — When the rule fires (e.g., POST_CAPTURE — after a lead is captured)
  • Temperature Filter — Which lead temperatures trigger this rule (Hot, Warm, Cold, or All)
  • Delay — How long to wait before generating the draft (in minutes). Default is 120 minutes (2 hours)
  • Subject — The email subject line (supports personalization tokens)
  • Body — The email body template
  • Active/Inactive — Toggle rules on and off

Personalization Tokens

Use these tokens in your subject and body to personalize each email:

  • {{firstName}} — Lead's first name
  • {{lastName}} — Lead's last name
  • {{company}} — Lead's company name
  • {{conferenceName}} — The conference name

Auto-generated drafts appear in the Emails section for review before sending.
