The Conference Leaderboard: Points, Credit and Who Sees It
The conference leaderboard ranks the people working a conference by the leads they bring in, each lead weighted by how well it fits your Ideal Customer Profile. Finding the right people at the booth earns more than scanning everyone who walks by.
It's on for new workspaces. An admin can turn it on or off for the whole workspace (see Turning it on below).
How points work
Each lead earns points from its Auto score: Hot 10, Warm 4, Cold 1, with up to 20 from Cold leads.
- The Auto score comes from your Ideal Customer Profile: who the person is, plus signs of interest in your notes and booked meetings. Notes about what a lead needs, or a meeting booked with them, can move it up a band.
- A score set by hand, including the Hot, Warm or Cold tap when you scan, doesn't change points. The board reads the Auto score, which keeps updating underneath a score set by hand.
- New leads count 1 until they're scored ("waiting for a score"). Leads the profile rules out, like competitors, earn nothing.
- Cold leads add up to 20 points per person per conference, so 30 Cold leads earn 20, not 30.
- The same person counts once per conference, even when they were scanned twice or typed in again: matched by email, else by the badge's code together with their name, else by name and company.
The leaderboard needs a profile for the conference: the one picked on its Ideal Customer Profile tab, or the workspace default. Without one, admins and planners see a note asking for one, and nobody else sees the board. A conference that finished before its leads had a score per conference has no Auto scores to count, so its board says so instead of ranking anyone.
Which leads count
A lead counts for the person who brought it in at that conference:
- Scanned with the lead scanner, on the web scanner page or in the iOS app, from your own scanner link, until 3 days after the last day of the conference (in the conference's time zone). Voice notes recorded offline count too. A scan counts for whoever scans the person first at that conference. Scans after that still save the lead but earn no points, and they don't take credit for someone already on the list.
- Typed in with Add Lead, when it creates a new lead, from the first day of the conference until 3 days after the last day (in the conference's time zone). A lead added before the conference doesn't count, and a scan at the booth can still claim it.
A scan of someone who was already a lead still counts: a HubSpot contact, last year's lead or someone from a pre-show list. If they're already on this conference's list and nobody has scanned them there yet (from an imported list or an event page sign-up, for example), a scan from your own scanner link claims them for you, adds your notes to their lead, and the scanner says Counted for you. If someone already scanned them or typed them in at this conference, they stay with that person.
These don't count for anyone: spreadsheet and document imports, the AI assistant, event page sign-ups, booking links and HubSpot. Scans from the conference's shared scanner link have nobody to credit, so the board lists them on a line of their own, and a shared-link scan of someone already on the conference's list doesn't claim them, so a teammate's own scan still can.
Past conferences get a board too. Before the leaderboard existed, Conference Hero didn't record who scanned someone who was already a lead, so on those conferences only scans and Add Lead entries that created a new lead count, and those earlier scans can't be claimed by a new one.
Who is ranked
Everyone on the conference's attending or planning list who has points. Event Staff aren't ranked. Admins and planners also see the people with no points yet, and anyone credited with leads who isn't ranked: someone who isn't on the attending or planning list, a teammate who has left, or the Conference Hero team.
On a tie in points, the person with more Hot leads goes first, then more Warm leads, then higher Auto scores on those leads. People still equal after that share a place.
Who sees what
- Admins and the conference's planners see the whole board: everyone's points, their Hot, Warm and Cold leads, how many they scanned or typed in, and the lead meetings they held.
- Everyone else sees the top few (up to three, fewer on a small team or when people tie at the cut-off, so nobody can work out who came last), with their points and Hot, Warm and Cold leads, plus their own points. Their own place shows only when they're in the top few. The team's totals show when enough people are left off the list that nobody's numbers can be worked out from them.
- The wrap-up slide shows the top few, the same for everyone, and the team's totals under the same rule.
- The share link never shows it. The report's PDF and Excel downloads include it only when you tick Include the conference leaderboard.
Where it shows
- Conference overview: the Conference leaderboard card, while the conference is live and after it ends (before it starts, once someone has points). While the conference is live, the card refreshes every minute when the page is open.
- Post-Event ROI report: the leaderboard takes the place of the leads per team member table.
- The wrap-up: a Conference leaderboard slide before the shout-outs, when at least three people have points. While it shows, the shout-outs leave out most leads and most hot leads, since the slide already covers them. Like the rest of the wrap-up, the slide keeps the numbers from the day it was built; Refresh rebuilds it.
Turning it on
It's on for workspaces created from October 26, 2026. In older workspaces, admins turn it on under Settings -> Tips & Recommendations -> Show the conference leaderboard. It needs Name people in conference reviews to be on, and turning that off turns the leaderboard off too. The switch covers every conference in the workspace, past ones included. While it's off, admins see a prompt to turn it on on the overview of a live conference, or a finished one where someone scanned or typed in leads; Not now hides it.
