Following Up from the Mobile App: Today and Emails

Updated November 5, 2026·Following Up·Share on X

The Conference Hero mobile app (iPhone and Android) shows who to follow up with and lets you send the email right there, so the first follow-up can go out before you leave the booth.

Before you start: two things on the web

Do these once in Conference Hero on the web. The app tells you if either is missing and opens the page for you.

  1. Connect your email. Go to Integrations, My Email, and connect Gmail or Outlook. Follow-ups from the app go from that mailbox, so they show in your Sent folder and replies come back to you. Without it the app can't send. See connecting your email.
  2. Turn on your booking link (optional, recommended). On the Meetings page, open My Booking Link and turn it on. Follow-ups written in the app then invite the lead to pick a time on your calendar. See meetings and booking links.

Today: who to follow up with

Open the Leads tab and pick Today. It's the same list as My follow-ups on your Home page on the web:

  • Overdue: next steps that are past their due day
  • Due today: next steps due today
  • Hot, no next step: hot leads you own with nothing planned
  • Back from snooze: snoozes that just ended
  • Gone quiet: leads with no contact in two weeks and no next step

The red number on the Leads tab is how many are overdue or due today. During a live conference the Leads tab opens on the conference's leads instead; tap Today to switch.

Each row has:

  • Email: write a follow-up email (see below).
  • Done: marks the next step done, then asks what's next: follow up tomorrow, in 3 days or next week, snooze, or no follow-up needed. A step with open sub-tasks has to be finished on the web.
  • More: move the step to tomorrow or next week, set a next step, snooze the lead for 1 or 3 months, or say no follow-up is needed.

Tap a lead's name to open it. Today shows offline too; changes need a connection.

Write and send a follow-up email

Tap Email on a Today row, Write follow-up email on a lead, or Write follow-up email right after you save a lead in Capture.

  1. The AI writes a draft from what your team knows about the lead: the notes, earlier emails and meetings, and the conference you met at. With a booking link, the draft invites them to pick a time.
  2. Edit the subject and the text. To change the tone or what it says, type it under Rewrite with AI (for example "shorter" or "mention the pricing sheet") and tap Rewrite.
  3. Tap Send. The email goes from your connected Gmail or Outlook, with your email signature added, and shows on the lead's activity and in HubSpot when it's connected.
  4. Pick what's next for the lead, or tap Not now.

Nothing is sent until you tap Send. If you turned AI features off in the app, or your team's AI credits are used up, you write the email yourself and send it the same way. Leads marked Do Not Email can't be emailed, and a lead without an email address asks you to add one first.
