Track Deals From Conference Leads to Closed Won

Updated October 28, 2026·Following Up·Share on X

A deal is a sales opportunity: money a company might spend with you. Leads tell you who you met. Deals tell you what those meetings are worth, so your conference reports can show real pipeline instead of a guess.

Create a deal

You can create a deal from three places:

  • The Deals page in the sidebar: click Create deal.
  • A lead: open the lead, and on the Overview tab click the plus in the Deals section.
  • A company: open the company, and use the Deals section on its Overview tab.

Each deal has:

  • Name, amount and close date
  • Stage (see below)
  • Owner: the teammate working it
  • Company and people: the leads involved (a deal can include several people at the same company)
  • Conference: the event the deal came from. It's filled in for you when you start from a lead who met you at a conference, and you can change it.

Creating a deal moves its people to the Qualified stage of the lead funnel (or Won if the deal is already won), so the funnel and the deal stay in step.

Deal stages

Every workspace has one pipeline. It starts with New, Meeting held, Proposal sent, Negotiating, Won and Lost. Admins can rename, reorder, add or remove stages in Settings, Deal Stages. Each stage counts as Open, Won or Lost, and can carry a probability, which the Weighted pipeline number uses.

When you move a deal to a lost stage you're asked why: No budget, Went with a competitor, No response, Bad fit or Other, with an optional note. Those reasons feed the Pipeline report.

The Deals page

The Deals page shows your open pipeline, the weighted pipeline and the number of deals at the top. Switch between:

  • Board: one column per stage. Drag a deal to move it.
  • Table: every deal with amount, stage, close date, owner, company and conference. Click any header to sort.

Filter by My deals or Everyone's deals, by owner, by conference, or search by name.

Syncing with HubSpot

When HubSpot is connected, an admin picks which HubSpot deal pipeline to use in Settings, Deal Stages. From then on:

  • HubSpot is the source of truth. Its stages replace yours, and stages can only be changed in HubSpot.
  • Deals you create or change in Conference Hero are written to HubSpot right away, with their contact and company links.
  • Deals created or changed in HubSpot are pulled in every 15 minutes, as long as they are linked to a lead or company you already have. Deals deleted in HubSpot are removed here too.
  • Deals that came from HubSpot can't be deleted in Conference Hero. Delete them in HubSpot.

Where deals show up

  • The Post-Event ROI report and the Pipeline report count deal amounts per conference.
  • A company's Overview shows its open and won deal value.
  • The conference wrap-up and 30-day results use deals for the pipeline slide.

Leads that still have an old deal amount on the lead itself, from before deals existed, are still counted, as long as they aren't on a deal yet.
