Find and Merge Duplicate Leads in Your Workspace

Updated October 28, 2026·Capturing Leads·Share on X

The same person can end up in your workspace twice: scanned at one conference with a work email, imported from a list with a different spelling. Merging puts everything back on one lead.

Find possible duplicates

On the Leads page, click Duplicates. You'll see groups of leads that have:

  • Same email (ignoring capital letters), or
  • Same name and company

Each group shows the leads with their email, company, owner and when they were added.

Merge two leads

  1. Pick the lead to Keep. The oldest one is picked for you.
  2. Click Review and merge.
  3. The merge window shows both leads side by side. Where they differ, pick the value to keep. Empty fields are filled from the other lead.
  4. Check what moves, then click Merge leads and confirm.

Use the swap button between the two leads to keep the other one instead.

What happens in a merge

Everything on the merged lead moves to the kept one: notes, activity, meetings, deals, tasks, emails and replies, conference links, lists and campaigns. Notes typed in the lead's Notes field are combined, and custom fields are added where the kept lead has none. If both leads were at the same conference, the leaderboard credit goes to whoever scanned them first.

The merged lead is removed, and old links to it open the kept lead. The kept lead is re-scored. Each merge is recorded in the audit log. A merge can't be undone.

Members can merge leads they own or that have no owner. Admins can merge any two.

Not duplicates

Two different people with the same name at the same company? Click Not duplicates and the group leaves the list for good.
