Paying for Your Plan, Invoices, and Extra Credits

Updated October 13, 2026·Account & Billing·Share on X

Your plan is agreed with your Customer Success manager (CSM). Everything after that, paying it, invoices, the card on file, extra credits and renewal, happens in Settings > Workspace Subscription. Only workspace admins see that page.

Payments run through Paddle, our payment provider. Paddle is the merchant of record: it charges the card or sends the invoice, adds sales tax or VAT where it applies, and issues the receipts and invoices. That's why your invoices show Paddle as the seller.

Paying the plan your CSM sends

When your CSM sends your plan, the workspace owner and your billing contact get an email, and Settings > Workspace Subscription shows a Your plan is ready card with the products, the price per billing period, the yearly total and the term. Any discounts you were given (for example 10% for paying upfront) are listed in green with what each one saves a year, and the prices shown already include them.

  1. Click Review and pay.
  2. Check the details in the secure checkout and pay by card. Paddle adds any tax at this step.
  3. Your plan starts within a minute or two. The card changes to your running plan, and the new limits apply right away.

Paying for an annual plan upfront is usually cheaper than paying every month or quarter. Your CSM sets that up in the offer.

If you pay by invoice instead, there's nothing to click: Paddle emails the invoice to your billing contact and the plan starts as soon as it's issued. Pay it by bank transfer using the details on the invoice, or by card if card payment is on for that invoice.

Someone in finance without a Conference Hero login can pay too: the payment link in the email works without signing in.

Invoices

The Invoices list on the same page shows every payment: plan payments, renewals, plan changes and credit packs.

  • Download any invoice as a PDF with the download button.
  • Pay by card on an open invoice opens the checkout. If that invoice is bank transfer only, you'll see a note to pay it with the details on the invoice.
  • Due and Overdue show when an invoice is waiting for payment.

The Billing portal button opens Paddle's portal, with every invoice and receipt in one place.

Updating the card

Plans paid by card renew on the card on file. Click Update card to change it. If a payment failed, updating the card retries it.

Buying more AI or enrichment credits

If your plan includes credit packs, a Buy more credits card lists them with your prices.

  1. Click Buy next to a pack.
  2. Pay in the checkout.
  3. The credits are added within a minute, on top of your plan's allowance.

Credits from packs count until your plan year renews, the same as the credits in your plan. When AI or enrichment credits run out, the AI features or lookups pause and the message points admins here. If your plan has no packs, your CSM can add credits.

Turning off renewal

Click Turn off renewal at the bottom of the plan card. Before you confirm, you see the date your plan would end.

  • Your plan stays active until the end of the agreement you signed, and you aren't charged after that.
  • On a plan paid monthly or quarterly with a 12-month agreement, renewal off still runs to the end of the agreement.
  • Changed your mind? Keep my plan turns renewal back on any time before the end date.

When a plan ends, the workspace becomes read-only: you can still see your data, but you can't add or edit. Your data is kept. Your CSM can set up a new plan.

When a payment is overdue

If a card payment fails or an invoice passes its due date, a banner shows across the dashboard. You keep full access for 14 days. After that the workspace is read-only until the payment goes through. Pay the open invoice or update the card in Settings, and full access comes back as soon as the payment goes through.

A plan paused by our team also makes the workspace read-only until it resumes.

Trials

During a trial, the trial's own limits apply, and the banner counts down the last week. When your plan is ready, the banner links straight to it. After the trial ends you have a few grace days, then the workspace is read-only until the plan is paid.
