Schedule Meetings from Lead Profiles

The Calendly integration lets you book follow-up meetings with event leads directly from Conference Hero. On any lead's profile, click Schedule Meeting to generate a personalized Calendly link pre-filled with the lead's name and email. The lead receives a branded scheduling invitation and picks a time that works for them. No more back-and-forth emails trying to find 30 minutes that work for both sides.

This integration is available on Starter, Pay-Per-Event, and Team tiers.

Embed Scheduling Links in Follow-Up Emails

Conference Hero's campaign builder supports Calendly link embedding. When you compose follow-up emails, whether manually or through auto-send rules, insert a dynamic scheduling link that personalizes the booking page for each recipient. Templates with Calendly links automatically track click-through and booking rates, so you can see which follow-up sequences drive the most meetings.

This is particularly effective in post-event drip campaigns. A thank-you email on day one, a resource share on day three, and a Calendly-linked meeting request on day five is a proven sequence that converts event conversations into sales calls.

Meeting Tracking and Lead Timeline

Every Calendly event, whether scheduled, rescheduled, or cancelled, is logged in the lead's activity timeline within Conference Hero. After a meeting occurs, your team can log outcomes like "demo scheduled," "proposal sent," or "not a fit" directly in Conference Hero. These outcomes feed into the lead's score and pipeline stage.

Meeting activity also factors into lead scoring. A lead who books and attends a follow-up call gets a priority boost, making sure your hottest prospects stay at the top of the follow-up queue. Combined with other timeline events like email opens and booth visits, you get a complete picture of every lead's engagement.
