Conference follow-ups that actually land in the inbox

Send from your own domain, validate every lead email, and warm up your reputation automatically. Bring your own email provider - we handle the deliverability.

Conference emails have a deliverability problem

You meet 200 people at a booth. Half the emails are mistyped, a quarter are fake, and you send to all of them from a domain that's never sent email before. Gmail sees a brand-new sender blasting hundreds of emails to bad addresses and does exactly what you'd expect: spam folder.

Email validation before every campaign

Badge-scanned emails are risky. People mistype at booths or give fake addresses. Conference Hero validates every lead email before your first send, checking for valid format, working domain, and known bad addresses. Invalid emails are automatically excluded from campaigns so they never hurt your reputation.

Domain authentication is required, not optional

You cannot send a single email until SPF, DKIM, and DMARC are configured on your domain. We show you exactly which DNS records to add, then verify them with your provider's API. This is what tells Gmail, Outlook, and Yahoo that you're a real sender.

Automatic domain warmup

If your domain has never sent email before, blasting 2,000 leads on day one will get flagged regardless of provider. Conference Hero enforces a gradual ramp: 20 emails/day in week one, scaling to 500 by week four, then uncapped. This builds trust with mailbox providers over time.

AI-powered personalization

"I met you at the booth" emails trigger spam filters when they look templated. Conference Hero's AI content generation writes personalized follow-ups using each lead's name, company, conference context, and conversation notes. Every email reads like it was written by hand.

Bring your own email provider

Connect your existing ESP account and send from your own domain. Your emails, your reputation, your deliverability. Conference Hero handles validation, warmup, and tracking.

How it works

From connecting your provider to sending your first campaign in four steps.

1

Connect your email provider

Go to Settings, then Integrations, and select the Email Provider tab. Choose Postmark (recommended) or any supported provider. Enter your API key to connect.

2

Add and verify your domain

Enter your sending domain (e.g., yourcompany.com). Conference Hero will show you the exact DNS records to add for SPF, DKIM, and DMARC. Add them to your DNS provider, then click Verify.

3

Validate your lead emails

Click "Validate Now" to check every lead email in your workspace. Invalid and risky addresses are flagged and excluded from campaigns automatically.

4

Send your first campaign

Create a campaign, select your audience, and go. Conference Hero handles warmup limits, personalization, and tracking. Emails go out from your domain, building your reputation with every send.

Conference email best practices

Follow these rules to keep your follow-up emails out of spam.

DO

Personalize every email with the lead's name, company, and conference context

DON'T

Send identical template emails to your entire list

DO

Validate email addresses before sending (especially badge-scanned ones)

DON'T

Send to unchecked lists - bad addresses tank your reputation fast

DO

Respect the warmup schedule for new sending domains

DON'T

Blast 2,000 emails from a domain that's never sent before

DO

Send within 48 hours of meeting someone at a conference

DON'T

Wait weeks, then mass-email leads who forgot meeting you

DO

Include a clear unsubscribe link in every email

DON'T

Make it hard for people to opt out (spam complaints hurt more than unsubscribes)

DO

Set up SPF, DKIM, and DMARC on your domain before sending

DON'T

Send from a domain without authentication (instant spam folder)
